Number: 1 Job Purpose: To provide an effective and efficient clerical and administrative support service to the department. 2 Dimensions: Operating Budget: Nil No. of Reporting Staff: Nil Other: Nil 3 Key Result Areas: • Provides technical support to the SHE Group for issuing of technical reports, presentations, drawings, charts, budgets proposals, tender documents and non-routine reports as required. • Carries out a variety of advanced clerical and administrative duties with different division including typing of correspondence, reports, notes and statements, sending faxes, receiving, registering and distributing office mail, retrieving and photocopying of documents. • Maintains and retrieves data files and manipulate for various reports and presentations in specified formats. • Develops information storage and retrieval systems to maintain files and records. • Arranges and organizes meeting as requested by the manager • Makes requisition and payment of invoices through SAP. • Responds to staff queries on administrative policies and procedures — SHE Business Manual. • Learns policies and procedures relevant to area of operation. • Prepares Group Orientation Manual to be issued for the new staff. • Monitors office stationery usage. • Performs other duties as assigned. 4 Operating Environment, Framework and Boundaries: • Operates in a small team, within a well-structured environment with direction from multiple senior staff . Flexible to changing priorities and varied work assignments 5 Communications and Working Relationships: • Good command of English and good communication/interpersonal skills • Internal regular contacts with other employees at own or next higher level to obtain Job Description (cont'd): information and answer queries 6 Problem Solving/Complexity: • Experienced in handling most routine matters • Normally selects solutions from clear and specific alternatives within the area of job related knowledge • Would refer more complex problems to more senior staff 7 Decision Making Authority and Responsibility: • Works under general supervision • Completes activities within clear guidance * Exercises independent judgment in relation to work minimal supervision 8 Knowledge Skills and Experience: • Good knowledge of computer software/applications • Understands technical terminology. • Excellent command of the English language • Computer literate with strong knowledge of commonly used word processing, spreadsheet and database software programs. (MS Word, Excel, Powerpoint, Outlook, Access) • Ability to draft accurate and clear documents and presentations , • Good understanding of procedures and policies • Good communication and interpersonal skills e Familiar with records management and document control processes
